1. Operator identity
Brayn AI operates the Brayn AI service, including the Discord bot, web dashboard, website, and related support systems.
- Privacy contact: privacy@brayn.pl
- Dashboard: https://panel.brayn.pl
- Support server: https://discord.gg/Jq3vpYAKAU
2. Scope
This Privacy Policy applies to information processed when administrators configure Brayn AI, when users interact with the bot in enabled Discord contexts, when the dashboard or website is used, when knowledge sources are uploaded or imported, when billing is processed, and when support, transcript, or operational review workflows are used.
3. Summary
Your privacy matters. Brayn AI is designed to process only the information needed to operate the features a server administrator enables, such as AI support replies, ticket workflows, human escalation, knowledge base imports, billing, and dashboard access.
We do not sell Discord message content, we do not use Discord message content for advertising, and Brayn AI does not use Discord message content to train its own AI models. When AI features are enabled, relevant message content and context may still be sent to OpenRouter and underlying AI providers as described below.
Our servers and databases are not intended to be publicly accessible. Some information may be available through the dashboard or designated endpoints when the requester is properly authenticated and authorized.
4. Categories of data we collect
| Category | Examples |
|---|---|
| Discord account and OAuth profile data for administrators | Discord user ID, username, avatar, email if provided through OAuth, and session-related account data. |
| Discord server metadata and configuration data | Server IDs, channel and role selections, prompts, toggles, AI settings, support-role configuration, and related operational settings. |
| Message content from enabled support contexts | Messages from administrator-enabled support channels, threads, mentions, and ticket workflows used to generate AI replies and support continuity. |
| Ticket transcripts and support conversation records | Conversation summaries, ticket history, transcript exports, escalation records, and staff-handoff information. |
| Knowledge base content uploaded or imported by administrators | Uploaded documents, pasted text, website imports, and selected Discord imports used to answer support questions. |
| Billing and subscription records | Plan details, invoice status, credits, usage, subscription metadata, and payment processor records. |
| Security, abuse-prevention, and operational logs | Authentication events, diagnostic logs, anti-abuse signals, error traces, and service monitoring records. |
| Vote and reward metadata if Top.gg integrations are enabled | Vote events, reward attribution, and related account or server usage records. |
5. Sources of data
- Directly from administrators and users who interact with Brayn AI.
- From Discord APIs, events, OAuth flows, and interaction payloads made available to the application.
- From uploads, imports, or connected sources selected by administrators.
- From service providers that support infrastructure, billing, authentication, or related operations.
6. How we use data
- To authenticate administrators and provide dashboard access.
- To configure, operate, maintain, and secure the Discord bot and dashboard.
- To generate AI-assisted support replies in contexts enabled by the relevant server administrator.
- To preserve short-term support context during active conversations.
- To route unresolved issues to human staff and support handoff workflows.
- To maintain transcripts, support records, and operational history.
- To manage credits, subscriptions, invoices, and billing operations.
- To investigate abuse, enforce policies, and improve service reliability and security.
- To provide customer support, onboarding, and service communications.
7. Feature-specific processing
7.1 AI support conversations and ticket workflows
When enabled by a server administrator, Brayn AI reads message content in configured support channels, threads, mentions, and ticket workflows in order to understand support requests, generate replies, preserve short-term context, create support summaries, and support transcript or handoff workflows.
7.2 Human escalation and support staff notifications
If human assistance is requested or required, Brayn AI may generate an escalation summary, identify the configured support role or responder group, and send the relevant support notification inside Discord or through configured support workflows.
7.3 Knowledge base uploads and imports
Administrators may upload documents, paste text, import website content, import selected Discord content, or use other supported ingestion flows such as transcript-based imports. That content is stored and processed to power Brayn AI's support responses and knowledge retrieval.
7.4 Dashboard authentication and administration
When administrators sign in with Discord, Brayn AI processes Discord OAuth and session data to authenticate the user, manage dashboard access, and determine which Discord servers or settings the administrator is allowed to manage.
7.5 Billing and rewards
If billing, subscription, credits, or Top.gg reward features are used, Brayn AI processes the relevant billing, usage, subscription, or vote-related records required to operate those features.
8. AI and message content disclosure
Brayn AI processes message content only in the Discord contexts enabled by the relevant server administrator, such as configured support channels, threads, mentions, or ticket workflows.
When AI support features are enabled, message content, prompts, conversation context, ticket summaries, and relevant knowledge base material may be sent to OpenRouter and, depending on routing and configuration, to one or more underlying AI model providers made available through OpenRouter.
Brayn AI does not use Discord message content to train its own AI models. Third-party AI providers that receive submitted content through OpenRouter may process that content under their own policies and terms.
Brayn AI does not sell Discord message content, does not use Discord message content for advertising, and does not claim ownership over administrator-provided knowledge base content.
9. Sharing and processors
We share data only as needed to operate the service, comply with law, investigate abuse, enforce our terms, or protect Brayn AI, its users, or others.
- Discord for bot, OAuth, and platform operations.
- Supabase for database, authentication, and storage infrastructure.
- Stripe for payments, subscriptions, and billing operations.
- OpenRouter for AI request routing.
- Underlying AI model providers used through OpenRouter routing.
- Top.gg if vote or reward integrations are enabled.
- Hosting, infrastructure, analytics, and document-processing vendors used to operate the service.
10. Duration and deletion
- Dashboard authentication cookies are configured for up to 7 days unless they are cleared earlier by sign-out, expiry, or session invalidation.
- Short-term AI conversation context is retained for about 24 hours to preserve continuity during active support sessions.
- Ticket transcripts, support records, server configuration, and knowledge base data may be retained longer while operationally necessary.
- Billing, fraud-prevention, audit, and security records may be retained for longer periods where legally required or operationally necessary.
- Data is deleted or de-identified when it is no longer needed, subject to legal, billing, abuse-prevention, and security obligations.
If Brayn AI is removed from a Discord server, the server may be marked inactive without immediately deleting all related records. If you want stored data deleted, submit a deletion request using the contact details below.
11. User rights and controls
- Server administrators control where Brayn AI is enabled.
- Server administrators control what knowledge sources are uploaded or imported.
- Users and administrators may request access, correction, or deletion of relevant data.
- Some data may need to be retained for legal, billing, abuse-prevention, or security reasons.
12. Deletion requests
Privacy and deletion requests should be sent to privacy@brayn.pl . Users may also contact us through the official support server, but email is the formal privacy-request channel.
To help us locate the relevant records, include enough identifying information to identify the Discord server, user, channel, thread, ticket, or other records involved. Requests will be reviewed and fulfilled where the requester is authorized and where retention is not otherwise required.
13. Security
We use commercially reasonable technical and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction. Access is limited to what is needed to operate, maintain, support, and secure the service. No storage or transmission system is perfectly secure.
Although we work to protect your information, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute data security.
14. International processing
Brayn AI and its service providers may process data in multiple jurisdictions depending on where the relevant infrastructure, billing systems, and AI vendors operate.
15. Children and age requirements
Brayn AI is intended to be used in compliance with Discord's platform age requirements and applicable law. If you believe information was submitted in violation of applicable age restrictions, contact us so we can review the issue.
16. Policy updates
We may update this Privacy Policy from time to time. The version published at this URL is the current version and controls over prior published versions. Material updates may be reflected by updating the effective date shown above.
